Position Overview:
As an Immigration Intake Specialist, you will be the first point of contact for potential clients, playing a crucial role in setting a positive and supportive tone as they begin their journey with our firm. Your responsibilities include conducting interviews, gathering client information, assessing case eligibility, and providing guidance on the immigration process. You will ensure a smooth and efficient intake process that supports our client acquisition efforts and upholds our commitment to excellence. We have offices located in Fayetteville and Fuquay-Varina, North Carolina, as well as remote staff in Texas. However, all our staff always communicate with one another to provide support and assist with workloads via our virtual systems.
THIS IS AN ON-SITE JOB- NO REMOTE WORK
Key Responsibilities:
- Client Consultations: Conduct in-depth consultations with potential clients to understand their immigration needs, assess eligibility, and determine the appropriate legal services required.
- Intake Interviews: Perform initial intake interviews, gather comprehensive client information, and provide guidance on the immigration process.
- Client Engagement: Listen attentively, ask relevant questions, and build rapport to instill confidence in our firm’s capabilities.
- Communication: Clearly communicate the firm’s unique value proposition, services, and benefits to potential clients.
- Case Evaluation: Assess potential client cases based on eligibility criteria, complexity, and alignment with the firm’s expertise.
- Information Management: Accurately gather and document detailed client information, ensuring confidentiality and organization.
- Scheduling: Schedule appointments and coordinate follow-ups with prospective and existing clients.
- Collaboration: Work closely with legal assistants and attorneys to facilitate a seamless transition from intake to casework.
- Form Assistance: Schedule client meetings to complete detailed questionnaires and support the review and signing of USCIS online forms.
- Record-Keeping: Maintain detailed records of client interactions, consultations, and activities using the firm’s MyCase system.
- Quality Control: Review prospective clients’ intake sheets for completeness and accuracy prior to attorney consultations.
- Questionnaire Coordination: Schedule meetings with clients to complete necessary questionnaires.
Education and Experience
- High School Diploma/GED or Equivalent (Minimum)
- Experience in a legal or administrative setting (Preferred)
Requirements:
- Bilingual in English and Spanish (read, write and speak) – Required
- Previous experience in an administrative or client-facing role, preferably within a law office or similar environment. – Preferred
- Strong communication skills with the ability to connect and empathize with clients from diverse backgrounds.
- Excellent organizational skills with meticulous attention to detail.
- Proficiency in office software and case management systems (experience with MyCase is a plus).
- Self-motivated with the ability to work independently and in a team within a fast-paced environment.
- Excellent computer proficiency, including MS Office Suite (Word, Excel, Outlook) with the ability to learn new programs and/or platforms
- Prior experience in immigration law is a plus but not required.
- Authorized to work in the U.S
- Reliable transportation is required

Position Overview:
We are seeking a motivated, organized, and detail-oriented Part-Time Legal Assistant to provide critical support to our legal team in our Fuquay-Varina Office. As a Legal Assistant, you will be responsible for assisting attorneys and other team members in managing case files, conducting research, and supporting the day-to-day needs of our clients. This role is essential to ensure our firm’s cases move forward smoothly and that each client receives seamless, professional experience. - Scheduling attorney client meetings
- Communicating with clients in English and Spanish
- Drafting documents and pleadings in English and Spanish
- Filing and sending documents and pleadings
- Requesting documents from clients in English and Spanish
- Documenting incoming mail
- Maintaining attorney calendars
- Translating client documents from Spanish to English
- Clearly communicate the firm’s unique value proposition, services, and benefits to potential clients.
- Accurately gather and document detailed client information, ensuring confidentiality and organization.
- Support general office duties, including filing, scanning, data entry, and office supply management.
- Running miscellaneous errands to the post office, etc.
Qualifications:
- Bilingual in English and Spanish (read, write and speak) – Required
- Previous experience in an administrative or client-facing role, preferably within a law office or similar environment. – Preferred
- Strong communication skills with the ability to connect and empathize with clients from diverse backgrounds.

Receptionist/Secretary position (Fayetteville Office)
The Law Office of Dahlia Castillo, PLLC is a busy law office who predominately assists immigrant communities in divorce, child custody, traffic/DWI matters in Cumberland, Harnett, Hoke and Wake Counties as well as immigration cases throughout the 50 states and overseas.
The main highlights
- We are seeking a Receptionist who can speak, read and write Spanish, is self-motivated, can follow directions and can think on their feet. The landscape of our industry changes daily, and we need someone who can adapt and learn on the spot. If you do not have these qualifications, please do not apply.
- Our office handles immigration, family and traffic/DWI cases In Wake, Cumberland, Harnett, and Hoke counties.
- We are a big believer in work/family life balance, so work hours will be 8:30am -5pm, but can offer flexibility to the right person.
- Our office is located downtown Fayetteville in the Cardinal Building.
- 20 to 30 hours per week to start, but we may offer more hours to the right person.
- We are seeking a legal assistant who can speak, write and read in Spanish, is self-motivated, can follow directions and can think on their feet. Duties:
• Answer incoming phone calls and return phone calls in English and Spanish
• Schedule appointments and call/contact people to confirm their appointments
• Add important events to attorney calendar
• Maintain the office calendar
• Take payments in-person and over the phone
• Send reminders of confirmed appointments.
• After a consultation has started, help by making photocopies of documents for the attorney; booking return appointments; and talking to potential customers to see what their experience was like or if they need something
• Greet prospective clients and office clients at the front desk in a professional, friendly, and hospitable manner
• Check mailbox daily and process incoming mail per office procedure
• Prepare documents for mailing
• Document phone calls from clients and prospective clients in the telephone log and in MyCase
• Draft letters to clients in English and Spanish
• Translate client documents
• Review consultation intake forms and notes to ensure that appointments are scheduled to ensure they are completed properly by the prospective clients
• Collect required documents from clients in preparation for their consultation
• Prepare responses to client feedback after consultations
• Coordinate post-consultation follow-ups to clients
• Prepare and submit document checklists to new clients
• Review new client intake questionnaires to ensure data accuracy
• Provide phone support to the administrative team
• Create new files (hard files and electronic on computer)
• Prepare old files to be closed (scan to computer and shred files)
Qualifications:
• Fluent in Spanish (read, write, and speak)
• High School Diploma/GED
• Excellent phone etiquette
• Friendly and professional
• Able to work independently
• Excellent with technology, dependable, organized, efficient, mentally healthy
• Able to deal with good people on their worst days (the nature of family law).
• Experience with dealing with emotional phone calls/de-escalating situations
• Able to maintain a high level of confidentiality/ethical standards
• Able to document details of contact with clients, opposing counsel and court personnel
• Able to multi-task efficiently

Pay:
• $12-14 (Please note $12 to start during the 3-month probationary period, which may increase after the probationary period)
